The Service Catalogue and its structure

Plony

The Service Catalogue is built in Plony. The service object in Plony is created when saving the Application form for the first time. The service gets a persistent ID the, joins the Service Pipeline and service information is extended througout the Service Onboarding Process. As soon as the service’s status switches to “Online”, the service becomes part of the Service Catalogue and public service information is transferred to Cloud Portal.

When navigating to the Service Portfolio overview in Plony, all services are displayed, sorted by their status (in tabs):

When clicking on a service, the corresponding Service Catalogue Entry is displayed. The Service Catalogue Entry includes all service information collected via the Application Form and the Service Canvas during Service Onboarding:

If service information changed, the members of the Service Operation Group as well as the Service Manager can use the “Edit” button here to create a change request adapting the service information.

The second tab of the Service Catalogue entry includes the responsibilities for the service. The Service Owner is responsible for the service and the main contact person for HIFIS. Together with the Further Admins the Service Owner forms the Service Operation Group which can hand in change requests adapting the service information. The Service Manager and Provider Manager are roles that are used for contact if the Service Owner is not reachable.

The third tab of the Service Catalogue entry includes the Change Request functionality. If a Change Request was created, an overview table of all changes (including old and new values) are displayed here. This is also the place where Change Requests can be submitted to HIFIS and accepted/denied by the Service Portfolio Manager.

The fourth tab of the Service Catalogue entry includes the Resources. If desired, the Service Owner can add a resource package here which creates a resource booking form in Cloud Portal. For more information regarding resource booking, please check here

The fifth tab of the Service Catalogue entry shows the Documents uploaded for the service (if applicable).

The last tab of the Service Catalogue entry is for managing the status of the service. The Service Portfolio Manager can e.g. change the status to “Discontinued” if the Service Provider initiated the Service Offboarding here.

Helmholtz Cloud Portal

With the public service information transferred from Plony, the Helmholtz Cloud Portal displays all services in status “Online”. Every service has a service card showing first details about the service, such as Service name and a one-sentence description of the service’s functionalities:

When clicking on the service card, the full Service Description is displayed, giving all necessary information on the service’s functionalities, how to get access, which limitations exists and where data is stored:
