How to transfer your (Mattermost) team / channel(s)

Helmholtz Matrix Documentation is WIP!

We plan to offer Helmholtz Matrix from April 2026. This first documentation is yet work in progress. Do not rely on it yet! Feel free to provide feedback if you encounter any errors.

Transition of Mattermost Teams and Channels

We provide some hints here on how to migrate your groups from Mattermost to the new Helmholtz Matrix.

If you do NOT know the Matrix ID of your channel members

  • Copy Room Link
    • click i on the header
    • select Copy link
  • Publish the link in the according Mattermost Channel
  • Manage requests of people who shall join the room
    • click i on the header
    • click Settings
    • click People
  • Once you are sure that all people moved, archive Mattermost Channel
    • choose Mattermost Channel
    • click on the Name of the Channel in the Header
    • Choose Archive Channel: You can search and open archived channels but cannot enter new chats.

If you know the correct Matrix ID of your channel members

  • click i on the header
  • click invite
  • enter matrix id in search
    • don’t forget the @ at the beginning, e.g. @name-ab3cd:helmholtz.cloud
  • click invite
  • the person is invited and can enter the room

The Transition Plan

  • Independent Migration: Since team structures and message histories cannot and may not be transferred automatically, teams will organize their move to Matrix independently.
  • There won’t be a transfer any data automatically, as per our migration policy.
  • Why no automated migration? HIFIS team examined this option extensively. Due to data protection regulations, high technical effort, and the goal of creating a “clean” new environment, we decided on a fresh start.

Archived Mattermost Chats

  • Mid-July 2026: Mattermost will no longer be available in the Helmholtz Cloud.
  • Data Archiving: Data will be archived and direct access will be lost.
  • Access to previous chat histories is to be provided via self-service. The technical tools for this are currently being developed.
  • Deadlines for final deletion are currently being discussed with data protection officers.

Mattermost Boards

Matrix do not include a board feature. So, you have to move to another service. Helmholtz Cloud offers two services with kanban board features: * Codebase Gitlab by HZDR * HIFIS Tip: How-to Setup Boards in Gitlab

Timeline for the transition from Mattermost to Matrix

  • End of March 2026: Matrix becomes available as a new Helmholtz Cloud Service.
  • April 2026: The creation of teams in Mattermost will be deactivated; new teams will be created in Matrix.
  • Mid-July 2026: Mattermost will no longer be available in the Helmholtz Cloud.
  • Data Archiving: Data will be archived and direct access will be lost. Deadlines for final deletion are currently being discussed with data protection officers.
